Using the "Jive Copy Document" Workflow

The "Jive Copy Document" workflow is designed to be controlled by individual contributors of the SharePoint site. This layer is used to control the scope of where a document can be copied to in Jive.
Note: You can perform a Copy To Jive action as long as you have write access in the Jive place you're choosing as the destination. In other words, read access in SharePoint is all that's needed to perform a Copy To.
Note: To use the workflow you must have the "Jive Copy To Workflow" site collection feature activated. This is done by the installer, but must be manually activated on site collections not selected during the installation. To activate, log in as a site collection administrator and go to Site Settings > Site Collection features on the root site in your site collection. Then activate the "Jive Copy To Workflow" feature. Note that this can only be used on SharePoint libraries, not on regular SharePoint lists.

Associating the Jive Copy Document Workflow to a SharePoint Document Library

Before the Jive Copy Document workflow can be used within a SharePoint document library, it must be associated to the document library by a manager of that library.
  1. Navigate to the document library where you want to configure the workflow.
  2. Click Settings (If you do not see the Settings dropdown, you will need to work with a Site Owner to gain access).
  3. Click Document Library Settings.

  4. Click Workflow Settings.

  5. Select "Jive Copy Document" from the "Select a workflow template" dropdown, then click Next.

  6. Enter a name for the workflow. You can also change the task list and workflow history lists (using the defaults is typically fine). Change the start options if preferred.
  7. Select the desired Jive Instance and Jive Space, Group, or Project (or you can let the end-user decide later by keeping the checkboxes enabled.)

  8. Click OK.

Launching the Jive Copy Document Workflow

The following steps show to launch the workflow configured from the steps above.

  1. Click the context menu for the desired document in the document library.

  2. Click "Jive Copy Document" (or whatever you named the workflow in the steps above).

  3. Make the Jive Instance and Jive Place choices (if configured for user override).

  4. Click OK.
