External Contributors in Jive
Jive is a place where you can build your network, collaborate with your team, share files, and generate ideas. As an external contributor, you have a specific set of capabilities and restrictions in Jive.
What can external contributors see?
External contributors have limited visibility within the community, restricted primarily to the content in their groups. They can see:
- Groups they have joined
- Content and projects within those groups
- Other users who are also members of those groups
They cannot see:
- Spaces or projects outside those in their groups
- The Community Overview page, accessible by clicking Home
- Global or public content, such as status updates, public bookmarks, or public documents and discussions
- Apps, although they can see images embedded by apps within their groups
What can external contributors do?
The group you belong to anticipates your contributions and expertise. Think of it as a 24-hour hotline where you can communicate your ideas and opinions. You can write documents and gather input from other experts without the need for notes or lengthy email threads.
Using your Inbox
Your Inbox shows activity relevant to you, including:
- @mentions
- Replies to discussions you're involved in
- Content shared with you
- Notifications of new followers and direct messages
Tips for using the Inbox:
- Use the Filter menu to view @mentions, messages, notifications, or shares.
- Enter a username in the filter box to see communications that involve a specific user.
- Manage unread communications with the blue dot indicator and by selecting Unread Only to filter those messages.
- Activate Split View to see message details while browsing other messages.
- Hide updates on items that no longer interest you by selecting Hide new activity.
Discovering Documents and Discussions
Engage in discussions and collaborate by commenting on content:
- To comment, click Add a Comment or Reply at the bottom of any discussion or document. Everyone involved will see your response.
- Document owners control whether you can edit or comment on content. If you need permission to comment, contact the document's author.
- If you can edit a document, you'll see the Edit option in the Actions menu.
- Comments may have badges indicating Decision, Action Item, or Success, helping you track the state of conversations. For more about marking, see Using Marking feature.
- Comments can be liked or marked as helpful, contributing to community engagement metrics.
Using Attention Streams
Attention streams are available on the News and Activity pages of any place and are updated with new content, replies, and status updates.
Limitations for External Contributors
While external contributors can use the community similar to standard users, they face some limitations:
- They cannot update their status or create public discussions and documents.
- They only see unauthorized messages, not private messages.
- They cannot see or use Jive Apps, nor can they launch App actions.
- Connects Services are unavailable to them, and they cannot access the Tools page to download modules like Outlook and Office.
- They cannot access public external URL bookmarks or social bookmarking but can create and view internal bookmarks for Jive content.
- They cannot become group owners.
